Costing Material - Type Resources

Summary
Resources that do not charge by time can be handled easily within Microsoft Project. Here we show how these can be assigned and their costs distributed across tasks as required.

Defining Material - Type Resources
Firstly, define the consumable resource.

  • Choose: View - Resource Sheet.
  • Enter the name of the resource in the 'Name' column
  • Choose 'Material' in the 'Type' column,
  • Optionally enter a unit (e.g. liters, meters) in the 'Material Label' column,
  • Enter the unit cost rate in the 'Std Rate' column for the material.

If the type is made to be 'material' standard rate is interpreted as a unit cost. If the type if 'Work' it is taken to be a time-based cost rate. This is new in Project 2000 and later versions.

Assigning Materials Resources
The assignment is the same for all resources. Return to the Gantt chart.

  • Select View - Gantt chart.
  • Enter tasks and then assign the material resources.

For example, split the screen (Window - Split) and enter the number of units you require. The cost will be calculated accordingly.

To confirm this, right click the lower half of the screen and select 'Resource Cost'.

Distributing Material Costs Across Several Tasks
If a material cost is to be distributed across several tasks, Select a Standard Rate, which divides exactly into the various costs you require for each task. The values you get when you divide the desired cost by the cost rate is the number of units you will need to assign to each the respective tasks.

For example, if material costs of $300 and $500 are needed at two different tasks for the same material, define the standard rate to be $100, since this divides exactly into both dollar values (3 and 5 times respectively). Now assign 3 and 5 units of this resource to two tasks to obtain this dollar amount.

The "Cost Per Use" field
If you need to introduce a 'one off' cost each time a resource is assigned, enter this amount in the 'cost per use' field on the Resource Sheet. Flag fall or 'call out' costs can be represented in this way.
